Commitment to Accessibility

Brainlabs fully supports the accessibility and inclusiveness of persons with disabilities in all facets of its business and believes that all individuals, including individuals with disabilities, can make an important contribution to the Company. Accordingly, Brainlabs is fully committed to complying with its obligations under applicable accessibility and disability legislation, including Ontario’s Accessibility for Ontarians with Disabilities Act, 2005 (AODA), or other comparable legislation, which aims to remove barriers for people with disabilities.

 

Introduction

Brainlabs is fully committed to ensuring that our services are accessible to all individuals, including those with disabilities. We are committed to ensuring equal access and participation for people with disabilities. We are committed to treating people with disabilities in a way that allows them to maintain their dignity and independence. We believe in integration, and we are committed to meeting the needs of people with disabilities in a timely manner. We will do so by removing and preventing barriers to accessibility and by meeting our accessibility requirements under Ontario’s accessibility laws, including the AODA. 

Brainlabs is on a mission to create a diverse, equitable and inclusive workplace that embraces and celebrates individuality. This accessibility plan outlines the steps we are taking to meet the requirements of the AODA and to improve opportunities for people with disabilities. Our plan shows how we will play our role in making Ontario an accessible province for all Ontarians.

 

Past Achievements to Remove and Prevent Barriers

In 2025, Brainlabs completed a full review and assessment of its current accessibility policies, with the aim of improving accessibility for people with disabilities and to meet requirements of the AODA. The review resulted in the completion of:

  • Policy Development:
    • A new Accessibility Policy that is compliant with the AODA and Customer Service Standards
    • The creation of this multi-year plan
    • A plan to provide reasonable notice of any temporary disruption of goods, services, or facilities to the public
  • Staff Training:
    • A revised training program for employees and contractors involved in client services and customer interactions
  • Continuous Improvement:
    • A confirmed, continued commitment to supporting the accessibility and inclusiveness of persons with disabilities in all facets of our business, as well as to continuous improvement based on feedback from employees, clients and the public

 

Strategies and Actions

Brainlabs is committed to be below strategies and actions to meet the requirements of the AODA:

Year 1:

Objectives: 

  • Achieve full compliance with O. Reg. 191/11 s. 3(1) IASR and ensure accessibility standards are integrated into all agency practices.
  • Lay the groundwork for a solid accessibility-focused strategy in digital marketing.

Key Actions:

  1. Staff Training:
    • Train current employees and contractors on Ontario’s accessibility laws and the Ontario Human Rights Code as it applies to people with disabilities
    • Train new employees and contractors on Ontario’s accessibility laws and the Ontario Human Rights Code as it applies to people with disabilities within 30 days of hire, or as soon as practical
    • Train managers on best practice for managing and working with people of all abilities
  2. Accessibility Assessment & Audit:
    • Review the current state of the agency’s website, digital marketing tools, and client-facing materials for accessibility compliance (ensure WCAG 2.0 or higher standards are met by end April 2025).
  3. Policy Development:
    • Develop and implement an accessibility policy for the agency, ensuring that all future digital marketing services meet IASR requirements

Years 2-3:

Objectives: 

  • Expand and embed Accessibility into services with a focus on continuous improvement
  • Ensure continued compliance with AODA and any amendments

Key Actions:

  1. Communication Supports:
    • Continued assessment and expansion of communication supports, such as Braille and sign language interpreters, where appropriate
  2. Compliance Updates:
    • Stay up to date on accessibility laws and ensure the agency is compliant with any new amendments to O. Reg. 191/11.

 

Years 4-5:

The review of this multi-year plan and our accessibility policies by March 2030 (or more earlier, as required)

Policy Statement

Brainlabs is fully committed to ensuring that our services are accessible to all individuals, including those with disabilities. We will do so by removing and preventing barriers to accessibility and by meeting our accessibility requirements under Ontario’s accessibility laws, including the Accessibility for Ontarians with Disabilities Act, 2005 (AODA). 

Brainlabs is committed to meeting its current and ongoing obligations under the Ontario Human Rights Code respecting non-discrimination. Brainlabs understands that obligations under the Accessibility for Ontarians with Disabilities Act, 2005 (AODA) and its accessibility standards do not substitute or limit its obligations under the Ontario Human Rights Code or obligations to people with disabilities under any other law. 

Brainlabs is committed to excellence in serving and providing goods, services or facilities to all clients and customers including people with disabilities. 

Our accessible client service policies are consistent with the principles of independence, dignity, integration and equality of opportunity for people with disabilities.

Customer Service Accessibility

Brainlabs will provide accessible client service in the following ways:

  • Assistive Devices: Clients and customers are welcome to use their own assistive devices (e.g., hearing aids, screen readers) while interacting with our agency. Where necessary, we will provide support to ensure these devices can be used effectively.
  • Communication Supports: We will provide alternative communication supports upon request, including but not limited to:
    • Accessible formats such as large print and digital files
    • Clear, easy-to-read materials.

  • Service Animals and Support Persons: Clients and visitors are welcome to bring their service animals onto our premises at no cost. We will accommodate individuals who require the presence of a support person. The support person will not be charged any additional fees.
  • Temporary Disruptions: If there is a temporary disruption in our services or facilities that affects accessibility (e.g., website downtime, office accessibility), we will provide notice through our website or email.

Training for Staff and Contractors

Brainlabs is committed to training all employees and contractors involved in client services and customer interactions on: 

  • The requirements of the Accessibility for Ontarians with Disabilities Act, 2005 and the Customer Service Standard.
  • How to interact and communicate with people with various types of disabilities
  • How to interact with people with disabilities who use an assistive device or require the assistance of a service animal or a support person
  • The process for accommodating clients with disabilities in the digital marketing services we provide (e.g. ensuring content is accessible for people with visual impairments, offering captions for video content)

We train every person as soon as practicable after being hired and provide training in respect of any changes to the policies.

We maintain records of the training provided including the dates on which the training was provided and the number of individuals to whom it was provided.

Accessible Formats and Communication

Brainlabs is committed to providing accessible formats of communications, marketing materials, and other documents upon request. This includes, but is not limited to:

  • Email and Written Communication: Accessible formats will be provided for all written communication, including emails and marketing materials, upon request.
  • Assistance with Platforms: If a client requires help understanding or using digital platforms (e.g., managing their ads, viewing campaign reports), we will provide clear, accessible instructions.
  • Accessible Digital Reports: If clients require reports (e.g., performance analytics or campaign reports), we will provide them in accessible formats (e.g., large print, PDF, Word) upon request.
  • Web content Accessibility: Digital content that meets Web Content Accessibility Guidelines (WCAG) 2.0 or higher to ensure our websites, advertisements, and campaigns are accessible to people with disabilities.

Feedback Process

Brainlabs welcomes feedback from our clients, employees, and stakeholders on how to improve our accessibility policies, services, as well as feedback on the accessibility of the feedback process itself. 

Feedback may be provided in the following ways:

All feedback, including complaints, will be reviewed, and appropriate action will be taken where necessary. We will also provide a response within a reasonable timeframe. 

Brainlabs ensures our feedback process is accessible to people with disabilities by providing or arranging for accessible formats and communication support, on request.

Employment and Workplace Accessibility

Brainlabs is committed to ensuring that our workplace is accessible to employees with disabilities. We provide reasonable accommodations during recruitment, hiring, onboarding, and throughout employment. These accommodations may include:

  • Adjustments to job duties or work schedules.
  • Modified office setups or equipment to support employees with physical disabilities.
  • Alternative methods of communication or training for employees with disabilities.

In addition:

  • Recruitment Process: All job postings will include a statement inviting candidates with disabilities to request accommodations.
  • Workplace Modifications: We will provide reasonable accommodations to employees with disabilities, including physical workspace adjustments, technology support, and flexible work arrangements. We have written processes to develop individual accommodation plans for employees, and for those who have been absent from work due to a disability and require disability-related accommodations in order to return to work.
  • Employee Training: All staff will receive training on accessibility in the digital marketing space, as well as on how to interact with clients who may have accessibility needs.

Employees requiring accommodations should notify a member of the People Team or can email namer-hr@brainlabsdigital.com, who will work with them to determine appropriate adjustments.

Review and Continuous Improvement

We are committed to reviewing and updating this accessibility policy regularly to ensure ongoing compliance with the AODA and related standards. We will also engage in continuous improvement of our accessibility practices based on feedback from employees, clients, and the public.
